The owner portal

Who this is for

Property owners whose property manager runs their properties in eSamaHomes. The owner portal is for reading and answering; your property manager makes every change.

Before you start

  • Accept your property manager's invite and sign in with Google. The Google account can use any email address.
  • Your property manager links your properties to your account. Until they do, the dashboard says "No properties assigned yet".

Steps

  1. Dashboard shows your Available balance, with Deposits held and Reserve held below it, your properties with occupied units and your ownership percent, and Needs your attention.
  2. Financials shows your balance, Pending payouts, Payout history and Ledger activity, grouped by property. Each payout shows the amount you were paid, after deductions. Click a payout to see what was deducted from it. The ledger shows the last 12 months, 50 at a time: click Load more for the next ones, and Show older for entries before that. Security deposit money is marked Deposit held for the tenant and shown in grey: it is the tenant's, held until the lease ends.
  3. Rent status shows who has paid, who is due and who is behind on each of your properties. When your property manager has sent an eviction case on one of your properties to Evictions API, Eviction cases below it shows the unit, the step, the date of each step, who the case waits on and how it ended. A licensed attorney at Evictions API handles the case; the messages, documents and costs stay with your property manager.
  4. Maintenance lists the requests on your properties. A request above your approval amount waits for you: open it and click Approve or Reject, or Select one of its quotes.
  5. Applications lists applicants your property manager asks you to approve. Click Approve, or Decline and say why.
  6. Reports holds the statements and write-off reports your property manager sends you. Open one and click Download PDF. A Yearly owner statement shows your share of the year per property by the lines of IRS Schedule E, for your tax professional, and also has Download Excel. It is not tax advice.
  7. Documents holds the leases, inspections, notices and insurance for your properties. Click Download to open one in a new tab.
  8. Messages is for writing to your property manager. Click New message.

Example

Dana Whitfield owns 60% of Maple Court. Her dashboard shows an Available balance of $2,350.00, with Deposits held of $1,500.00 and Reserve held of $500.00.

  • Her property manager sends a payout of $2,350.00. It shows under Pending payouts, then moves to Payout history as Settled, and her available balance is $0.00.
  • A plumber's $850.00 quote is above her $500.00 approval amount. Maintenance approvals on the dashboard shows 1. She opens it, clicks Approve, then Confirm Approval.

What happens next

  • Only your Available balance can be paid to you. Deposits and reserve are held and never paid out. See Owner payouts.
  • When your property manager sends a statement, you get an email with a link to it. The email never carries the PDF. See Owner statements.
  • You can change your answer on an applicant until your property manager decides. The applicant is never told an owner declined.
  • A property your manager no longer manages moves to Past properties. Its statements, reports and documents stay.
  • A document link checks who you are every time. If you open it later, bookmark it or send it to someone, eSamaHomes asks for sign-in first, and only an account allowed to see the document can open it.

If something looks wrong

  • "You don't have access yet". Your portal opens once you accept your property manager's invite. Ask them to send you one, then open the link in the email.
  • "No properties assigned yet". Ask your property manager to link your properties.
  • "No reports shared yet", or a report you saw before is gone. You see only what your property manager has sent you. Ask them to send it.
  • A document is missing. Owners don't see tenants' ID documents, proof of income, vendor documents or uncategorized files. Ask your property manager.
  • "Document not available". The document was removed, or you are signed in with a different Google account from the one your property manager invited. Sign in with that account and open it again.
  • A payout shows Failed or Canceled. Its money was given back to your balance. Ask your property manager.
  • You want to change your bank account or approval amount. Your property manager changes these on your profile. Send them a message.
