Who this is for
Landlords and property managers who want someone else, such as a partner, an assistant or a leasing agent, to work in the same account. Only an Owner can invite, change roles or remove people. Everyone else can see the team list.
Before you start
- There are two roles. An Owner can do everything, including billing, team changes and the settings marked owner-only. A Member works in the account but can't do those things.
- You choose the role when you invite someone, and you can change it later.
- The person who opened the account is the account holder. They're always an Owner, and nobody can change or remove them. Only the account holder can cancel or change the plan, open the Stripe billing page, and connect or disconnect Stripe. Any Owner can update the card on file.
- Every Owner gets the account's notices and emails: failed payments, disputes, new leads and the rest. Members don't. Tenants see the account holder as their contact.
- Other help articles say "account owner". That means anyone on your team with the Owner role.
- There are no finer permissions per section yet. A Member can reach every part of the account except the owner-only actions.
Who can do what:
| Account holder | Owner | Member | |
|---|---|---|---|
| See every screen | Yes | Yes | Yes |
| Add properties, edit listings and tenants, send messages | Yes | Yes | Yes |
| Leases, tenants, applications and money | Yes | Yes | No |
| Settings and listing sites | Yes | Yes | No |
| Invite people, change roles, remove people | Yes | Yes | No |
| Change or remove the account holder | No | No | No |
| Update the card on file, subscribe, reactivate | Yes | Yes | No |
| Cancel or change the plan, open the Stripe billing page | Yes | No | No |
| Connect or disconnect Stripe | Yes | No | No |
What a Member can't do:
- Leases: create, change or delete a lease, renew it, or move a tenant out.
- Tenants and leads: add or delete a tenant; add, delete or invite a lead.
- Money: record or void payments, apply or unapply them, create invoices, deposits, expenses, transfers, refunds, payouts, distributions and management fees, enter opening balances, or reconcile the bank.
- Applications and screening: approve, deny, recommend or reopen an application, or start screening.
- Maintenance: update, assign, complete or resolve a request.
- Listings: publish or delete a listing, change the company logo, or turn listing sites on.
- Properties: archive, restore or delete a property or unit, or change its owners and team.
- Settings: the company details, templates, integrations and the team.
- Files: delete a file.
- Each person needs their own Google account email, because everyone signs in with Google. An email that already belongs to a tenant, owner or vendor, or to someone in another account, can't be invited.
- Tenants, owners and vendors aren't team members. They get their own portals. See Invite tenants, owners, vendors and your team.
Steps
- Open Settings → Team.
- In Invite a team member, enter Name and Email, and pick the Role.
- Click Send invite. The person appears in Members with the status Invite sent.
- They get an email, "You're invited to join" your company "on eSamaHomes", with an Accept Invitation button. The link lasts 72 hours. They accept the terms and sign in with Google, and their status turns Active.
- To take back an invite before it is used, click Revoke on its row (on a phone, under ⋯).
- To remove someone, click Remove on their row (on a phone, under ⋯) and confirm. To change a person's role, pick it from the Role list on their row, then click Change role to confirm. Cancel leaves their role as it was. You can't change your own role: your row shows your role with no list.
Example
Rosa Diaz is the Owner of Bayview Management. She invites two people:
- Luis Cole, her office manager, as an Owner, so he can handle billing when she's away.
- Mia Park, a leasing agent, as a Member.
Members (3) shows Rosa (Active), Luis (Invite sent) and Mia (Invite sent). When both accept, all three are Active. Rosa opened the account, so her row says Account holder, and Luis, an Owner, can't remove her. Months later Mia leaves, and Rosa clicks Remove on her row. Members (2) shows Rosa and Luis.
Sam Reyes rents out three houses. He invites his partner Ana Reyes as an Owner, so she can create leases and record rent. Sam opened the account, so only he can cancel the plan or connect Stripe.
What happens next
- A removed person can no longer open the account. Anything they did, such as payments recorded or messages sent, stays in the records.
- Your own row has no Remove button, and neither does the account holder's.
- An account always keeps at least one Owner, and the account holder is always one of them. There's no way yet to make someone else the account holder.
If something looks wrong
- "This email already has an eSamaHomes account. Ask them to sign in with it." That person is already on a team, yours or another company's. Each person can be on one team only.
- "This email is already in use by another eSamaHomes account and can't be added here. Ask the person to use a different email address." The email is a tenant, owner or vendor login. Ask for another address.
- "Invitation expired" on the invite page. The 72 hours have passed. The list still shows Invite sent and there is no resend. Click Revoke on the old invite and send a new one.
- The Remove button is greyed out, or "Cannot remove the last OWNER — promote another member first". That person is the last Owner, and an account can't be left without one.
- "This person is the account holder. They stay an Owner and can't be removed." Nobody can change the account holder's role or remove them, not even the account holder. If the account needs a new account holder, contact eSamaHomes support.
- "Only the account holder, (their name), can change this." You're an Owner, but this action is for the account holder only. Ask them to do it. If they've left, contact eSamaHomes support.
- "You can't remove yourself. Ask another Owner to remove you." Another Owner removes you from their own Team screen.
- "You can't change your own role. Ask another Owner to change it." Another Owner changes it from their own Team screen.
