The vendor portal
For vendors · Last updated
Who this is for
Plumbers, electricians, cleaners and other vendors a landlord or property manager hires through eSamaHomes. In the portal you price jobs, see the work you're assigned and send your invoice.
Before you start
- Accept the invite your landlord or property manager sent and sign in with Google. The Google account can use any email address.
- eSamaHomes doesn't pay you. Your landlord or property manager pays you their own way, such as check, ACH, wire, Zelle or Venmo, and records the payment in eSamaHomes.
Steps
Send a quote
- Open Quotes. Quote Requests lists jobs you were asked to price. Open Requests lists other requests that are waiting for quotes.
- Click Submit Price beside a job you were asked to price, or Submit Quote beside an open request, to read it.
- Under Submit a Quote, enter the Amount ($) and, if you like, a Description of the work, materials and timeline.
- Click Submit Quote. It appears under My Quotes with its status.
Do the job and send your invoice
- Open Work Orders. Each one shows its description, status, scheduled date and invoice amount.
- Click a work order to see the request, the scheduled date, Permission to enter and the quote that was approved. Granted means the tenant said someone may come in while they're out, Not granted means they left it off, and Not answered means nobody asked them. Ask your landlord or property manager about anything else.
- When the job is done, enter the Invoice Amount ($) and click Submit Invoice. The work order shows INVOICE SUBMITTED.
Your profile
- Open Profile to see your email, phone and trade.
- Under Payout details, Pay by shows how your landlord or property manager pays you, such as "Zelle, jane@email.com", or Not set. You can't change it in the portal: the company that pays you keeps it, and the page says who to contact. They email you whenever it changes.
Example
Clearwater Plumbing is asked to quote a new water heater at Maple Court.
- Under Quote Requests, Clearwater opens the job, enters $850.00 and "Replace 40-gallon water heater, half a day", and clicks Submit Quote.
- The quote is accepted, and a work order appears under Work Orders as ASSIGNED.
- After the job, Clearwater enters $850.00 and clicks Submit Invoice.
- The property manager mails a check for $850.00 and records it. It shows under the work order's payments.
What happens next
- Your landlord or property manager sees your invoice and pays you outside eSamaHomes. Each payment they record shows on the work order.
- An invoice more than 10% above your approved quote sends them a notice, so expect a question.
- Your Dashboard counts your Open work orders and Pending quotes, and lists Recent Work Orders.
If something looks wrong
- "No work orders yet". No job has been assigned to you yet.
- "No invoice available for this work order status." You can send an invoice only while the work order is ASSIGNED or IN PROGRESS. It may already be invoiced, completed or cancelled.
- "Enter a valid amount." Enter a price above zero.
- "No payments recorded yet." You haven't been paid for this job yet, or the payment hasn't been recorded. Ask your landlord or property manager.
- You need to change a submitted quote or invoice. You can't edit it in the portal. Contact your landlord or property manager.
- Your payout details are wrong, or you got an email that they changed and you didn't ask. Contact your landlord or property manager. Only they can change them.
