Tenants
For landlords, property managers · Last updated
Who this is for
Landlords and property managers looking after the people who rent from them. Only an Owner on your team can add or delete a tenant; anyone on your team can find, edit, message and archive one. See Add your team.
Before you start
- Tenants is under Rentals in the menu.
- A tenant is a person. Their rent, dates and unit are on their lease, which you add separately. See Create a lease.
- A tenant needs an email address. It is how they sign in to the tenant portal once you invite them.
Steps
Add a tenant
- Open Tenants under Rentals in the menu and click Add tenant.
- Fill in First Name, Last Name and Email. Middle Name and Phone are optional.
- Click Add Tenant. The tenant is added at the top of the list.
- To let them use the tenant portal, click Invite in the Portal Invite column. See Invite tenants, owners and vendors.
Find a tenant
- Type in Search tenants... to search by name, email or property.
- Click a status to show only those tenants:
| Status | What it means |
|---|---|
| All | Every tenant who isn't archived |
| Active | A tenant who isn't archived, evicted or in a lease ending soon |
| Ending soon | Their lease ends within 60 days. A month-to-month lease never shows here |
| Evicted | The tenant's record is marked as evicted |
| Archived | Tenants you archived. They are hidden from All |
- Click View to open the tenant's page, or Message to send them a message.
A property manager's Rent status tab
In a property manager account, Tenants has two tabs: All tenants and Rent status. Rent status shows who has paid this month's rent and who hasn't. A landlord sees the same table on the dashboard. See Rent status, who has paid.
The tenant's page
Click View on a tenant. Their page shows:
- Contact Information: email, phone, Member since (the day they were added), and any Prepaid credit (money they paid that isn't applied to a charge yet).
- Current Lease and Lease History.
- Notices & Reminders: the late notices and lease reminders sent for them.
- Failed Bank Payments: an online payment from their bank that failed or was returned. Nothing was recorded for these. See Bank payments, processing, failed and returned.
From the page you can click Edit Tenant to change their name, email or phone, or Send Message to start a message to them.
Example
Lena Brooks rents Unit 2B at Maple Court to Carlos Rivera. His lease ends on December 15, and today is November 3.
- Carlos shows as Ending soon in the list, because his lease ends within 60 days.
- Lena clicks View on Carlos. Current Lease shows Maple Court, Unit 2B and his dates.
- She clicks Send Message, types the subject "Renewing your lease" and a short note, and clicks Send message. Carlos reads it under Messages when he signs in to the tenant portal.
What happens next
- When a lease ends and the tenant moves out, click Archive on their page. They leave the All list and stay under Archived, with their leases and payments kept. Restore brings them back.
- A tenant who was never on a lease has Delete instead of Archive.
- Changing a tenant's email takes away their portal access until they accept a new invite.
If something looks wrong
- Archive is grayed out. The tenant has an active lease. End or move out the lease first. See Move out and archive a property.
- "First name, last name, and email are required". Fill in all three.
- A tenant isn't in the list. They may be archived. Click Archived.
- "Failed to delete tenant". Only an Owner on your team can delete a tenant, and never one who was on a lease. Archive them instead.
- You can't add a tenant. Only an Owner on your team can. Ask one to add them.
- No Rent status tab. It is only in a property manager account. A landlord finds rent status on the dashboard.
